Information collected

An access request collects your name, organisation, role, work email, mobile number, how you arrived, any introducer, your reason for requesting access and any optional message. If access is approved, an individual account identifier and access status are also retained. Essential security records may be created to prevent misuse.

Purpose and lawful basis

The information is used to assess and respond to access requests, administer individual access and protect the site. The intended lawful basis is legitimate interests in operating a controlled private website, responding to requested contact and maintaining system security. No marketing subscription is created by this form.

Retention

Pending requests that are not progressed, and declined requests, are normally deleted within 90 days. Approved access records are retained while access remains active and normally for 90 days after revocation. Limited security and audit records may be retained for up to 12 months where necessary.

Sharing and international processing

Information is handled only by James Mather and service providers needed to host the site, authenticate access, store requests and deliver operational email. Those providers act under appropriate contractual and security arrangements. Where processing takes place outside the UK, appropriate transfer safeguards are required.

Your rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction or portability of your information, or object to processing based on legitimate interests. You may also complain to the UK Information Commissioner’s Office. Contact enquire@jamesmather.com first if you would like the issue reviewed directly.
